Practice Policies
These policies are provided to ensure clear expectations, mutual respect, and ethical, high-quality service. Please review prior to scheduling or engaging in services. By booking with Responder Resilience & Trauma Support LLC ("RRTS"), you agree to the policies outlined below.

• Payment is due at the time of booking or by the start of the session.
• Payment methods accepted: ACH transfer, Stripe, or Square.
• Late payments: 10% late fee applies to unpaid invoices after 7 days.
• Accounts 30+ days overdue may result in paused services.
• Accounts 60+ days overdue may be sent to collections if unresolved.
• Session receipts are available upon request.

• You may reschedule a session at no cost if done at least 24 hours in advance.
• If you cancel with less than 24 hours’ notice but can reschedule within the same week, no fee will be charged.
• If rescheduling is not possible within the same week, a $50 late cancellation fee will apply.
• No-show sessions (missed without notice) are charged at the full session rate.
• Frequent cancellations may result in paused services.

• Payments for completed sessions are non-refundable.
• Prepaid sessions or packages may be refunded if canceled at least 24 hours before services begin.
• Refunds will exclude any processing fees charged by Stripe or Square.
• If RRTS must cancel services, all unused session fees will be refunded.
• Refunds do not apply to late cancellation or no-show fees.

• RRTS provides non-clinical peer support services.
• Services focus on emotional wellness, resilience-building, mindset support, and personal growth.
• Peer support is not counseling, psychotherapy, or medical treatment.
• No diagnosis, medication management, or clinical documentation is provided.
• Clients experiencing a mental health crisis or suicidal intent will be referred to emergency or crisis resources.

• Conversations in peer support sessions are confidential and private.
• RRTS does not record sessions.
• Information will only be shared with your written permission, unless required by law.
• Limits to confidentiality include:
– Threats of harm to self or others
– Abuse or neglect involving a minor, disabled person, or elder
– Court order or legal obligation
• Email and virtual communication are not 100% risk-free; secure methods are used whenever possible.

• RRTS does not provide crisis or emergency services.
• If you are in crisis or feel unsafe, contact one of the following immediately:
– 988 (National Suicide & Crisis Lifeline – 24/7)
– Text HOME to 741741 (Crisis Text Line – 24/7)
– 911 for immediate safety/emergencies
– Local emergency room
• Peer support sessions are not appropriate for active crisis intervention.
• If a crisis occurs during a session, appropriate emergency services may be contacted to ensure safety.
